
Microsoft 365 Security and Personal Settings
As the College continues to secure our systems and data, additional security measures such as Multi Factor Authentication (MFA) will be utilized to ensure we maintain adequate protections for access to our systems. All MHCC students are to be enrolled into Microsoft’s MFA program for Microsoft 365 access. This functionality will be required when logging into Microsoft Online services including Outlook email on your desktop and/or phone. One of the ways you can ensure your access is available is to keep your Microsoft Cloud Security information updated. The steps below outline how to accomplish this task.
NOTE: Some information on this portal cannot be edited or changed by students and must be handled by the Service Desk. If you notice any incorrect personal information, please notify the Student Service Desk by emailing [email protected] or calling 503-491-7208.
Accessing your Account
To access your MHCC Saints email account information and settings, follow these steps:
- In a web browser (Edge, Chrome, Safari), go to the following URL: https://myaccount.microsoft.com/
- Enter your MHCC Saint email address (Example: [email protected]).
- Enter your password.
- Click "Sign-in".
Security Info: Manage Account Sign-in Methods and MFA
In the “Security info” section, you’ll find three options that can be used to help you enroll in and manage your Multi-Factor Authentication (MFA) settings for your MHCC student account. To access this section, from the Overview page select the "Update Info" link on the Security info tile.
Adding sign-in method
To add a new sign-in method for use with Multi-Factor Authentication (MFA), select “Add sign-in method” and follow the prompts to complete setup for your chosen option.
Sign-in Methods
- Microsoft Authenticator App: This is the recommended and most secure method for Multi-Factor Authentication. It generates time-based codes or sends push notifications to your mobile device for quick and secure sign-in approval.
- You can download the app from the Apple App Store (iPhone) or Google Play Store (Android) by searching for “Microsoft Authenticator.”
- Hardware Token: Students may purchase their own OTP (One-Time Password) hardware tokens as an alternative to the Microsoft Authenticator app. Please note that MHCC IT does not support this option for students.
- Phone (Call or Text): This method allows you to receive a verification code via text message or a phone call to confirm your identity during sign-in. It’s a convenient backup if you don’t have access to the Microsoft Authenticator app, though it’s considered less secure than app-based methods.
- Alternative Phone: This is a backup phone number you can use to receive a verification code via call or text if your primary sign-in method is unavailable. It’s helpful in case you lose access to your main device or phone number.
- Office Phone: This method allows you to receive a verification call at your designated office phone number during sign-in. It’s typically used in workplace settings where mobile device access is limited but may not be available for student accounts.
Managing Sign-in Methods
If your contact details change - like getting a new phone or updating your email, you can easily update your sign-in methods. On the Security info page at https://mysignins.microsoft.com/security-info, locate the method you want to update. Select “Change” to edit the details or “Delete” to remove the method entirely.
Lost or Stolen Device
If you have lost or do not have access to a device that is a sign in method (typically your smartphone) and believe you may be at risk, you can click the " Sign out everywhere" link to have Microsoft auto sign you out of all Microsoft cloud system accounts.
NOTE: several menu options are not on the security info page, and you may need to return to the Overview screen (the first page) to access them, either by pressing the back button on your browser, or clicking Overview on the left-hand menu.
Setting up Multi-Factor Authentication (MFA) significantly enhances your account security, making it much harder for unauthorized users to gain access. Grasping your security and personal settings, along with the applications you use, is crucial for maintaining a secure account.
Password (Changing Password)
To change your MHCC Saints password, first sign-in to your account. Then from the Overview page, click the “Change Password” link in the Password tile. Follow the prompts to enter a strong new password—the recommendation is to use a password that is at least 14 characters long with a mix of uppercase, lowercase, numbers, and symbols.
NOTE: This will only change your Microsoft Saints account password and not your MHCC MyPortal password.
Manage Devices
To view or manage the devices that are connected to or have accessed your MHCC Saints account. To access this section, sign into your acocunt, then from the Overview page select the “Manage Devices” link on the Devices tile.
From here, you can view the devices that are registered to your account. Click the arrow to expand the view of each device for more details. If you believe a device may be compromised, you can disable it here.
WARNING: Once a device is disabled, the MHCC Service Desk will need to re-enable it for any further use.
Manage Organizations
This section will have limited functionality. Your MHCC Saints account can only belong to Mt. Hood Community College. To view this information, from the Overview page select the " Manage Organizations" link on the Organizations tile.
From this section, you can view the organizations you belong to. There should only be one organization listed for your account. If you see more than one or notice any organizations you don't recognize, please contact the Service Desk at 503-491-7448.
View Recent Sign-in Activity
To review your recent sign-in activity, sign-into your account. Then from the Overview page select the " Review Recent Activity" link on the My sign-ins tile.
Here, you can see your recent sign-ins going back one month. You should recognize all your sign-ins. If for some reason you do not recognize sign-in activity, you should review your " security info " to ensure no other sign-in methods you don’t recognize have been added and change your password. Office Apps
To view which apps your MHCC Saints account has access to use, sign into your account, then from the Overview page select “My Apps” on the left-hand side.
From this section, you can access the Microsoft apps available to you as a student. Simply click on a tile to open the app.
Settings and Privacy
To personalize your account settings and see how your data is used, sign into your account. Then from the Overview page select “Settings and Privacy” towards the bottom of the page.
Language and Region Preferences
To change your display language, preferred language or translate into different languages. Under the Language and Region tab, click on the down arrow (˅) next to your desired setting you would like to change and select your desired language.
- This step can be very helpful if you prefer to use a different language. This will affect web applications such as Outlook on the web, SharePoint in Microsoft 365, OneDrive for work or school, Excel, OneNote, PowerPoint, Word, Visio, Calendar, People and Office.com.
Privacy Preferences
To access the privacy section, go to the privacy tab. This section in your Microsoft 365 account settings allows you to manage your personal data across Microsoft services with the MHCC ecosystem. This includes:
- Clear Microsoft Search History
- Manage Contact Search
- Controlling data collection:
