MHCC Rental Requirements and Guidelines
Thank you for considering Mt. Hood Community College as the venue for your upcoming event! We appreciate your interest and look forward to the opportunity to host your special occasion. To ensure a smooth and successful event, it's important to be aware of our event space requirements and regulations. These guidelines are designed to maintain a safe and welcoming environment for all visitors. Please review our space requirements and regulations carefully to make the most of your event at our beautiful campus. We're here to support you every step of the way and help you create a memorable experience for your guests. Facility Rental Requirements
Below are a few requirements to keep in mind ahead of scheduling your next event at MHCC:
- A 50% deposit is due 10 business days before your event
- Proof of insurance for $100,000 with MHCC listed as an additional insurer
- Facility use contract signed and approved by all parties
Facility Rental Requirements
- We will give you an estimate of the cost before your event. The final bill depends on what your event costs.
- The fees can vary based on how big your event is and where it is held.
- Sometimes, we might need to have MHCC site supervisors at your event, and that could cost extra. The cost will be figured out by the community outreach and event coordinator.
- Additional services may result in further charges. Event personnel needs and services are based on event coordination, which may include public safety, cleaning, when your event is, equipment, dining, and more.
- If you want to serve refreshments, please let us know. We require meeting coordinators to use MHCC's catering service Riverview Restaurant. Talk to the community outreach and event coordinator for more information about this.
- You need to show us a sample of your advertising at least two weeks before your event, and our community outreach and event coordinator will work with you to get it approved.
- Mt. Hood Community College is not liable for loss or theft of personal property. You are taking a risk when you use our facilities. You agree that MHCC is not responsible for any losses, costs, claims, injuries, or damages that might arise because you used our facilities.
Alcohol
The sale or consumption of alcohol is not allowed on any college property without presidential approval. MHCC’s president is authorized to enact regulations as appropriate and permitted by law regarding serving alcoholic beverages on campus or at fund-raising events held to benefit non-profit corporations.
If you would like to serve alcohol at your event, please let the community outreach and events coordinator know as soon as possible. Alcoholic beverages may require a special events license from the Oregon Liquor Control Commission (OLCC). Call OLCC at 503-872-5070 to determine if you need an OLCC special events license.
Cancellation Policies
Canceling an event, changing your event date, or altering services requested will result in no refund or rebate unless the college is notified of event changes at least ten business days before the event.
Mt. Hood Community College will not be held responsible for any interruptions, postponements, or cancellations due to weather, national/state emergencies/declarations/mandates, power failure, or power interruptions caused because of rolling blackouts, etc., as mandated by outside agencies (i.e., Bonneville Power Administration). A fine of $50 per may be levied if the policy is not adhered to.
Tobacco Policy
MHCC is 100% tobacco-free. Use of any tobacco products (smoking, vaping, or chewing) is not permitted in any college facilities, college grounds, vehicles on college property, and/or college-owned, rented, or leased vehicles on or off any college location.
Parking at MHCC
Parking is free at all MHCC campuses.
